Tasks

Tasks

The “Tasks” tab shows every task from every document in one place – filtered by due date, status and list. This is where you check tasks off, assign lists and open the details.

The tasks area #

Every task belongs to a spot in a document. That is why the tasks area has no “New Task” button: tasks start in documents – select text or press and hold a spot, then choose “Create task”. See Tasks in documents for how this works.

On the left is the filter column with the smart lists and the list filter, in the middle the task list, and on the right the details of the selected task. The top line of the list counts tasks and subtasks.

Each row shows the circle for checking the task off, the title and, below it, the due date (red when overdue), a bell if there are reminders, subtask progress (for example “1/3”) and the document name. The coloured dot on the right stands for the list.

NoteWithout any tasks, the area shows “No Tasks Yet”. Create your first task in a document.
TipWith a hardware keyboard, ⌥⌘2 opens the tasks area. While search is open, its search text also filters the task list.
On iPadThe filter column, list and details sit side by side in three columns. “Sidebar” at the top left hides and shows the filter column; in portrait it steps aside automatically as soon as the details are open.

On iPhoneThe filter column is the start page of the “Tasks” tab. Tapping a filter opens the list; the details appear as a sheet.

On iPhone DuoFolded, it works as on the iPhone. Unfolded, it works as on the iPad: the filter column reaches to the fold and the list sits to its right. When the details are open, the filter column makes room; the list is then left and the details right of the fold.

Smart lists #

The upper entries in the filter column group tasks by due date and status. The number on the right counts tasks and subtasks and takes the selected list filter into account. Nexnor remembers the filter you chose last.

Subtasks are indented below their main task. If only a subtask matches the filter, its main task appears above it in grey with an arrow – for orientation only; it is not counted and cannot be checked off there. Tasks whose document is in the trash do not appear.

FilterShows
TodayOpen tasks due today – even if the time has already passed.
ScheduledAll open tasks with a due date. First the red “Overdue” section, then one section per day (“Today”, “Tomorrow”, date).
All OpenEverything that is not completed yet.
OverdueOpen tasks whose due date has passed. A due date without a time only counts as overdue from the following day.
No Due DateOpen items without a due date: subtasks without their own due date and tasks linked to a checkbox.
CompletedCompleted tasks, most recently completed first. You can reopen them from here.

Filtering by list #

Under “List Filter” you choose which list you want to see: “All Lists”, one of your own lists or “No List”. Exactly one entry is always active; it has a checkmark.

The list filter works together with the smart list above it – for example “Today” in the list “Clients”. Subtasks always belong to the list of their main task.

Pressing and holding one of your own lists shows “Manage Lists” and “Delete”. See Lists for more.

Tip“This List Is Empty” only appears when the list has no tasks at all. If only the filter above shows nothing, its own message appears, such as “Today Is Clear” – then choose “All Open” instead of “Today”, for example.

Checking off tasks #

Tap the circle to the left of a task, or swipe the row to the left and tap “Complete”. You reopen a completed task the same way (“Reopen”). In the details, the circle next to the title works just the same.

  • Main task with open subtasks: Nexnor asks first – “Complete All” checks off everything, “Complete Main Task Only” leaves the subtasks open. This also applies when you swipe the row all the way.
  • Subtask: is checked off directly; the main task stays as it is.
  • Reopening a subtask under a completed main task: choose “Reopen Both” or “Reopen Subtask Only”.
  • Recurring task: completing it creates the next one – see Recurrence.
NoteOn the task card in a document, a main task can only be checked off once all its subtasks are completed.

Task context menu #

Press and hold a task (with a mouse or trackpad: right-click). The first three items always apply to the main task – even if you open the menu on a subtask.

  • “Open in Document” – opens the document at the task’s spot.
  • “Pin as Up Next” or “Remove from Up Next” – see Up Next.
  • “Move to List” – moves the task and its subtasks to another list or to “No List”.
  • “Delete Task” (red) – deletes the task and its subtasks after a confirmation; the document stays unchanged. On a subtask, the item is called “Delete Subtask” and deletes only that subtask.

Selecting several tasks #

A selection always covers the whole main task with its subtasks. If subtasks are still open, Nexnor asks first, just as when checking off a single task. Switching the filter clears the selection.

How to

  1. Tap “Select” at the top right (circle with a checkmark). The button only appears when the list is not empty.
  2. Tap the tasks you want. At the top left, “Select All” selects everything and “Deselect All” clears the selection.
  3. Choose “Move to List” at the bottom left or tap “Complete” at the bottom right. The number of selected tasks is shown in the middle.
  4. Tap “Done” to leave selection mode.
NoteIn the “Completed” filter, “Complete” is turned off. Selection mode offers neither deleting nor reopening.

Task details #

Tap a task to open its details. At the top are the circle for checking it off, the title, “Open in Document”, “Edit” (opens the editor) and “Delete Task”, with the document name below.

Next come “Due”, the “List” picker (moves the task and its subtasks right away), “Pin as Up Next” and the note. In the “Subtasks” section you check off and edit subtasks and add more with “New Subtask” – see Subtasks.

If you tapped a subtask in the list, the details of its main task open with the subtask highlighted. Priority, tags, recurrence and reminders are only shown in the editor.

Note“Delete Task” asks first and then deletes the task and its subtasks permanently; the document stays unchanged. Otherwise the task belongs to its document: while the document is in the trash, the task is hidden; when the document is permanently deleted, the task goes with it.
